Job Purpose:

Generation of top line revenue for the hotel by maximizing all revenue potential in the corporate market and up-selling additional event/amenities, whenever possible, to build additional revenue and building strong customer relations to exceed client & guest expectations, contributing towards a first-class hospitality experience.

Additionally, to provide daily support to the sales team in a variety of support services, including coordination of events in the corporate market and assist with coordination in other markets as needed. Ensure that sales managers have sufficient quantities of sales support material, such as sales folders, menus and other sales collateral. Also act as a first point of contact for urgent calls, emails and messages when sales managers are not available. Enthusiastically assist guests as necessary to exceed guest expectations.

 

Essential Functions:

General Duties & Responsibilities

1. Responsible for event planning for all corporate conferences and meetings and ensure the success of those events.

2. Communicate group details/changes to all hotel departments via the banquet event order, coordinating customer's needs with other property business and activities to ensure customer's expectations are exceeded and the property operates efficiently.

3. Take inquiries, generate leads, place bookings, sell benefits & distribute correct information to appropriate parties.

4. Maintain good relations with clients and local community.

5. Ensure cancelled bookings are cleared from our event management system promptly to ensure that venue use is maximized.

6. Deal with all internal & external clients in a professional & courteous manner at all times, taking into account the wide & diverse range of business activities at Gateway Hotel & Conference Center.

7. Answer incoming calls, retrieve web inquiries and email requests and direct them to the appropriate sales manager or catering manager.

8. Assist in various duties, such as publishing the weekly MOD schedule, employee appreciation event planning, updating bulletin boards and maintaining a monthly list of employee birthdays and anniversaries and managing the electronic reader board daily.

9. File all contracts and banquet event orders on a daily, weekly and monthly basis.

 

 

 Sales & Marketing

10. Respond to sales inquiries by mail, phone & email in a timely fashion

11. Maintain client / event files & correspondence appropriately

12. Keep all records & event management system up to date; revise as necessary

13. Verify client has all relevant information pertaining to event & has appropriate documentation

14. Build & enhance relationships with new and existing local corporate partners to generate referrals & repeat business to continually grow revenues year-over-year

15. Maintain several sales reports, including revenue generated by sales manager and by market, monthly market segmentation comparison by year

16. Manage the files and reports that record the lost business as they occur.

17. Assist sales managers in obtaining group information to be communicated through the group resumes.

18. Send electronic satisfaction surveys daily to groups after their event is complete.

19. Manage the annual RFP process for bidding on national corporate rate business through Lanyon and other online sources

 

 Fiscal Responsibilities

20. Exceed target goals in Local Corporate transient business by exceeding year over year rooms sold and average daily rate.

21. Reconcile bills with the banquet event orders daily and ensure that billing procedures are followed in accordance with company best practices

22. Work within Gateway's best practices to ensure minimal risks through credit references & contracting of business

23. Contribute to the weekly Banquet Event Order (BEO)meeting to ensure successful events and good communication

 

 

Requirements:

High school diploma or equivalent required, plus 1 year experience in sales/catering office or related field. Some college is preferred. Position requires computer literacy & the ability use Microsoft Office Suite. From time to time you may be asked to carry out duties outside the normal sphere of work as reasonably requested by Management. One must have strong hospitality skills and the ability to work with minimal supervision.
